Update the client’s digital asset management and product information management system with a new user experience, moving to a new technology.

A new structure

The first task was updating the information architecture. The first version dated back to 2024 and didn’t fully meet the needs of end users (beauticians). Over the years, operators had requested various changes, causing redundancy issues within the system. It wasn’t possible to meet directly with users, but we were nonetheless able to gather the main friction points during the requirements analysis.

Problem 1

Responsiveness: the previous system was in fact optimized for desktop, but beauticians in salons have only tablets or rely solely on their smartphones to download materials and order products from the supplier. 

Problem 2

File-system architecture. The various branches and leaves of the architecture tree were reorganized to avoid carrying the “matryoshka-doll” content organization over onto the updated platform, with folders nested more than 4 levels deep. Reaching a usable file previously took up to 5 clicks. The various folder labels were also updated, to make them less technical and clearer even for less experienced users.

We prepared a mockup of the new software and presented it to the client.

Optimised workflow and sharing

The proposed solution is based on our company’s new design system, which resolves most of the issues identified. The system is fully responsive and features a single-level navigation menu. The extra levels have been replaced by tab components on the listing pages and by filters. This way, users get straight to the files and can narrow down the content on display. We also implemented some custom features:

• an updated flow for requesting personalized promotional materials, with the ability to order multiple items within the same order (previously, a separate order was required for each customization request).
